Helping to win new national customers and hold on to those we already have, the Contracts and Tenders are a team that not everyone knows about, but who have a massive impact in the support they give to the business. Ruby explains what exactly goes on in the team.

Meet Ruby…

Hello I’m Ruby, Senior Contracts and Tender Executive. I’ve been working at Bidfood for just over a year in our Contracts and Tenders team. 

Our team aim to create compelling responses to tenders and contract extensions to win new business and support relationship building with our existing customers. We work closely with the Bidfood National Account Managers across national and free trade business, project managing the tender process and ensuring we put our best foot forwards when showing our customers how we can support them with achieving their goals. 

My role is extremely varied and no two days are the same. Each tender starts with carefully reading the documents and conducting thorough research on the customer, discussing with the Account Manager and Business Development Controller what the most important aspects of the tender will be. I then coordinate various teams across the business, including Finance, Coding, Marketing and sometimes our Technical Services or Studio teams, establishing clear timelines to ensure we are all working to the deadline. Our team are proud to have never missed a customer deadline, so the project management aspect of our role is certainly important! 

Completing tenders is more creative than you might think and we spend a large proportion of our time writing bespoke content and designing proposal documents. This involves choosing imagery and looking at customer websites or brand colours to create a visually striking document that effectively presents our tender responses.  

The nature of my role means I am also involved in various other projects across the business. For example, each member of the team oversees prospecting for a particular sector – I look after Travel and Leisure – and we each manage tender proposals for one of our specialist categories: fresh meat, coffee, catering supplies and wines, beers and spirits. 

Working to tight deadlines can be tense, but it’s a great feeling when we know we’ve submitted a fantastic proposal and influenced a customer to work with us as their supply partner!
